Some costs move; others stay put

Food and drink charged per guest may fall when the count falls. A fixed hire fee usually does not change unless the agreement says it does. Minimum-spend rules can also limit how much a smaller wedding reduces the bill.

A fictional guest-count threshold

Suppose qualifying spend is $150 per guest with a $12,000 minimum. At 100 guests, qualifying spend is $15,000. At 80 guests it is $12,000. At 70 guests, the calculated package spend is $10,500, but the $12,000 minimum still applies under these assumptions. Add any separate fixed costs afterwards.

Read what counts towards the minimum

A contract might define the minimum around food and beverages, hire or another set of charges. Do not assume every upgrade counts. A shortfall also does not automatically buy extra services: ask how the venue handles it.

Check guest categories and deadlines

Ask about children, supplier meals, non-drinkers, absent guests and the final-number deadline. These terms vary. Reducing the list after a contractual deadline may produce a different result from reducing it before the quote is finalised.

Test several counts before deciding

Compare your preferred count with a smaller and larger scenario. Keep unknown costs visible and confirm whether the venue will revise the quote. The calculator models the entered minimum-spend arrangement; the contract decides the actual charge.
